Vintage Surfari Wagons rental terms

Reservation
A non-refundable booking deposit equivalent to approx 15% of your total rental is required to secure a booking. The balance of rental fees are due 7 days prior to pick up.

Insurance
Drivers with a valid and current driving license are covered by our policy for all liability up to the minimums set by the state of California.

Note:
Our liability insurance does not absolve the renter from damage they caused to the rented vehicle (Comprehensive / Collision Cover). It is the renters responsibility to ensure payment for repairing any damage to our vehicle.

The following are methods we accept to ensure coverage is established:
OPTION ONE - Peace of Mind Cover
The security deposit of $500 U.S.D. is taken on your credit card AND the client provides us with a "binder" from his or her own auto insurance company proving coverage for our "Mini Van". (For insurance purposes, DO NOT refer to our VW's as a Camper or RV. Those are generally not covered, and you will needlessly confuse your insurance agent.) This cover is only available to drivers with a valid U.S.A. or Canadian driver's license.

OPTION TWO - Reduction Cover/Damage Waiver
The security deposit is increased to $2000 U.S.D. (taken on a credit card) and a non-refundable $15 per day added to the daily rental tariff. Maximum rental period:  28 days. (Not available to residents of U.S.A. or Canada.)

OPTION THREE - No Cover/Damage Waiver
The security deposit is raised to $5,000 U.S.D. (taken on a credit card). No increase in daily tariff. Maximum rental period:  28 days. (Not available to residents of U.S.A. or Canada.)

In all cases the security deposit will be refunded upon the satisfactory return of the vehicle (i.e. No accident damage, returned on time, refueled, and in a clean and tidy condition, etc.).

A Note on Accidents
If you are involved in a collision, get the driver's license and insurance information from all other persons involved. See that a police report is made if there is an injury or if damages exceed $500.00. Call us as soon as you are safe so we can assist you.

The security deposit covers you for a single accident. You may be liable for a further deposit. The rates and prices quoted are in US dollars and are subject to change without notice.

Airport Pick Up and Drop Off Services
We are centrally located in Southern California. Our Orange County base is about one hour from Los Angeles (LAX) and San Diego (SAN) International airports. We provide complimentary pick up and drop off service at any airport within Southern California with a rental of 14 days or more. Airport service to LAX and SAN for all rentals of 2 weeks or longer is complimentary, if the hire period is less than 14 days that will cost $65.00 for it. We do pick up and drop off at SNA with no charge and  no trip limit. We are about 55 miles from L.A.X, anything within that circle will be about the same price. We will be glad to quote other locations upon request.

One Way Hires
It is possible to commence your hire in Los Angeles and finish it in San Francisco (or vice versa) for a $375 fee when the rental period is a minimum of fourteen (14) days. This charge is payable when final payment is made, 7 days before pick up date.

Hire Periods
Your Vintage Surfari Wagon is typically available from 9 am on your first day of hire and should be returned no later than 9 pm on the last day. Days of hire are the number of 24 hour periods, or portions thereof that you have the van. Late returns will be charged $50.00 past the first hour, after which a full day will be charged after 2 hours past the 'zero' hour of your rental (unless prior arrangements have been agreed upon).

Pick Up and Drop Off Service of Other Locations
We do a pick up and drop off anywhere the client request. We may have a small surcharge for out of the way places, etc. We ask that the client notify us as soon as they know where and when they want to be picked up, so we can make our arrangements. Then the day before, to contact us and re-confirm the information we have so that an efficient meet up can take place.

Road Restrictions
It is important the renter understand all insurance protection will be negated and the deposit forfeited, should the renter/driver take or drive our vehicles in the following restricted areas:

- Anywhere in Mexico
- To or through Death Valley and Las Vegas between May 1st and October 31st
- Any unimproved road, trail, track
- Any off road areas (dunes, beaches, riverbeds, logging roads, etc.)

If a breakdown occurs due to a violation of any of the aforementioned restrictions the renter will be responsible for towing, repair of damages incurred, and in addition, their deposit will be forfeited.

Substitutions
If for any reason beyond our control the reserved vehicle cannot be supplied on pick-up, a substitute will be offered. Should a substitute not be available our liability is limited to a full refund of monies received by Vintage Surfari Wagons. All rights are reserved to refuse any hire under any circumstance. No refunds are payable under the following circumstances: Us accommodating you;  Specific buses not being available; Where a client or passenger amends, cancels, or seeks to vary agreement after departure.

Security Deposits
Security deposits are held subject to the terms and conditions of the contract. For example, when you return the vehicle your deposit is returned in full if:  the vehicle is acceptably clean and there is no damage to the vehicle (including windscreen damage), or damage to it's contents, or any third party property damage; there is no evidence of off-road use; there is no evidence of Mexico or Death Valley use violations; if there is no other violation of any other restriction imposed on the hire, either expressed or implied.

Cancellations
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:

Further to this Vintage Surfari Wagons may take the following amounts in the event of a cancellation:  
An administration fee of $50 for bookings cancelled 33 days prior to your pick-up date.
If reservations are cancelled 33 to 18 days prior to pick-up there is a $250 cancellation fee.
Once full payment has been made (10 days prior to pick-up) there is a $250 or 50% of rental charge (which ever is greater) fee.
There is a 100% cancellation fee on "no show". Vans are cleared for rehire after 6 days if you "no show".

Travel insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.

Mechanical Problems
Our vehicles have had much of the mechanicals renewed in the recent past and are maintained by reputable VW mechanics, so problems are not common. However, they do sometimes occur and we want to be clear about our policies prior to booking.

Should you have a problem en-route, we are the first call you should make after making sure you are in a safe place. Hopefully the problem can be sorted and you will be on your way without too much inconvenience. There is an extensive network of VW mechanics throughout our region so we should be able to get you aid no matter how remote the location. Many times a simple fix is all that is required and you are back on your way.

We will cover any towing, parts, or labor needed to get you back on the road. We will not cover time lost.

If the problem is more serious, we have two choices.

1. We will get you to the nearest safe location where you can relax, and if another of our vehicles is available we will deliver the van and swap vehicles for you in the shortest possible time. The replacement vehicle may or may not be exactly the same as the one you started with. If you prefer to rent another vehicle locally, we will refund the balance of the rental period. You are responsible for any accommodation expenses.

2. If you do not want to swap vehicles, a replacement is not available, or it would require an excessive amount of time, we will recover you back to either our base or a nearby location of your choosing, and we'll ensure you have a safe onward journey. We will either refund any monies for the outstanding rental period, or offer a credit for an equivalent rental period at a future date of your choosing.

We want our policy to be fair and we ask you to consider before you book that this is a possibility. But if it happens, kick back and chill out. We have every confidence we can sort things out.

If you have any difficulties report these immediately to Vintage Surfari Wagons. If you incur any minor repair bills we will give you a refund (up to $50). Just produce your receipt at the completion of your hire. Retrospective claims or any unauthorized claims above this limit cannot be recognized. If you have an accident (or breakdown) you are responsible for your accommodation expenses. Vintage Surfari Wagons liability extends to either replacing your vehicle with a similar one or refunding your rental fees for any of the days the total use of the vehicle is lost.

Drivers Licence
The driver and renter must produce a valid driver's license. USA, Canada, E.U. or International Permit is requested. Two drivers maximum.

Minimum Age
The driver and renter must be over 24 years of age with three years minimum driving experience.

Driving the Vintage VW
We prefer you have some familiarity of the VW Bus's unique driving characteristics. Remember, you will be driving a vehicle developed in the 1930's, and built with all the technical sophistication of the 1970's. Plus... no air conditioning, no automatic shift, no power anything!

Bearing this in mind, please do not exceed 65 mph (105 kph) in your VW. If it is very hot outside, (over 95f) or you are climbing a long or steep grade, please reduce speed and select the proper gear. Keep the engine revving, as the engine fan is what cools the beast.

Be aware that cross winds effect the VW bus more than they do a conventional vehicle, so drive accordingly if it's windy.

Remember, due to the extreme cab-forward design of the bus, almost the entire vehicle is trailing along behind you. When making tight turns, pull out just a little further ahead than you might think so as to clear the back wheels (and bodywork) from other cars and curbs. Notice how a city bus seems to pull too far out in an intersection before turning the corner. It's like that.

Always purchase "premium" grade fuel (91 octane). Check engine oil level after every re-fueling. Topping off oil is provided. Should you need to purchase any fluids other than gasoline, provide us with a receipt and we will reimburse you.

Animals
Pets are allowed in the vehicles with prior approval.

Smoking
Our vans are smoke-free zones. Please smoke outside the vehicle only. Evidence of smoking within the vehicle will forfeit your damage deposit

Fuel
The fuel tank will be full on pickup and has to be returned full. Always re-fill with "premium" grade (91 octane or higher) fuel. Drop-off refueling will be charged against your security deposit at a rate of $5/gallon. Propane is provided with your hire. If you must re-fill the propane tank, we will reimburse you if you present us with a receipt.

Driving Fines
If you are fined or penalized for breaking any traffic laws, you are liable to pay the fine.

Winscreen and Tire Damages
Windscreen damage is the responsibility of the renter / driver. Make sure to note prior damage. Damage to tires and the cost of puncture repairs is the responsibility of the renter.

We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
